Video Transcript - Join an Applicant

Screen 1: Title screen
Welcome to the video help series for the Energy Rating Product Registration System.

In this video, we are going to show you to manage your Applicant’s contacts.

This includes how to add, edit or delete a contact.

Screen 2: Dashboard
We begin on our Dashboard page.

We select “Applicant Management” from the toolbar at the top of the page.

Screen 3: Applicant Management
On the Applicant Management page, we can see a new toolbar with six tabs.

From this toolbar, we select “Users & Contacts”.

Screen 4: Users & Contacts
On the Users & Contacts page, we see two sections: User Accounts at the top of the page and Contacts at the bottom of the page, where we can see a list of contacts associated with this Applicant.

Any of these contacts can be nominated as Administrative, Technical and/or Accounts Payable contacts in a product application.

To add a new contact, we select the “Add a contact” link below the table.

Screen 5: Create Contact
On this page, we need to provide some information for our new contact.

The first question asks if this contact has a user account. If the contact already has an existing user account, we select “Yes”. We then nominate the user account from the “User” dropdown menu below. In order for a user account to appear in this menu, they must have already joined the Applicant as an Authorised Representative.

If the contact does not have an existing user account, we select “No” and then we must fill in the fields that follow.

The final question asks “Do you want this contact to be selectable in dropdown lists?”. Ticking this box means that we are able to select this contact when we need to nominate contacts in our application forms. The system automatically ticks this box by default, so if you do not wish to have this contact appear in the dropdown lists, you will need to untick this box.

Once we’ve completed this page, we select “Save”.

Screen 6: Users & Contacts
We return to the Users & Contacts page.

If we scroll down, we can see that our contact has been added to our list of contacts.

Screen 7: Users & Contacts – Edit a contact
If we want to edit a contact’s details, we select the “Edit” link next to the contact we wish to edit.

The “Edit Contact” page appears. We make the changes we want to make and then select the “Save” button to save the changes. Those changes are now saved.

Screen 8: Users & Contacts – Delete contact
If we want to delete a contact entirely, we select the “Delete” link next to the contact we wish to delete.

We will then see one of two pages.

Screen 9: Delete Contact - Registrations

If our contact is still associated with registrations, a list of those registrations will appear, and we will need to reassign those registrations to a different contact person before we can delete this contact. Refer to our Help section for more information on how to update the contact details on a registration.

Screen 10: Delete Contact
If our contact is not associated with any registrations, we’ll see a message asking us to confirm that we would like to delete this contact.

To confirm the contact’s deletion, we select the “Delete” button.

Screen 11: Users & Contacts
We return to the Users & Contacts page, where we can see our contact has been successfully deleted.

And that’s how you manage your Applicant’s contacts in the registration system.

For further assistance with using the registration system, select the “Help” tab at the top of any page to go to our handy Help section, where you can find more videos and step-by-step guides to help you navigate any aspect of the system.
