Video Transcript - Request a Variation to a Registration: Change Request

Screen 1: Title screen
Welcome to the video help series for the Energy Rating Product Registration System.

In this video, we are going to show you how to request a variation to one of your existing registrations.

There are two different kinds of variations: ‘adding models to a family of models’ or ‘change request’.

Let’s take a quick look at the two different types of variations.

Screen 2: Overview of variations
The first type is an ‘add a model’ variation. An add a model variation allows you to add a new model to an existing family of models registration, provided that the registration has not met its limit for the family as prescribed under the relevant product Determination. There is a fee of $250 per family of models variation.

The second type of variation is a change request variation. A change request variation allows you to edit basic information on the approved registration – for example, contact details, the date of availability of the product and the website. There is no fee for a change request variation.

In this video, we’re going to look at submitting a change request variation.

Screen 3: Overview
We begin on the Overview page of the registration we want to vary.

We select the “Vary Registration” button from the Actions box on the right hand side.

Screen 4: Variation popup
This pop-up then appears, asking us to confirm that we would like to create a variation of our registration.

After we’ve read the information provided, we select the “Confirm” button to create our variation.

The pop-up refreshes and a message appears confirming that our variation has been successfully created.

We then select the “View new variation” link to go to our variation page.

Screen 5: Variation page
This is our draft variation. Although it looks the same as our registration, we can tell it’s different because it has a different record ID and it has variation after the ID number.

We now need to edit our variation, so we select the “Edit Variation” button in the Actions box or the “Edit Variation” tab on the application toolbar.

Screen 6: Variation Type page
This is the Variation Type page. On this page, we need to select what type of variation we wish to make to our registration.

There are two options: “Adding Models to a Family of Models” or “Change Request”.

We select “Change Request” from the drop-down menu.

We then select the “Continue” button.

Once we choose our variation option and select “Continue”, we cannot change it. We will need to start a brand new variation if we want to change the variation type.

Screen 7: Registration Type
We now edit the details we need to change.

We select the relevant pages from the left menu and make the changes. We can only edit the pages with green ticks. Any pages with a lock icon next to them cannot be edited.

Once we’ve made our changes on each page, we select the “Save” button at the bottom of each page to save our changes and check for errors.

Screen 8: Errors
If there are errors, a red message will appear at the top of the page.

The questions with the errors will be highlighted in red and we’ll need to fix these before we can continue.

Screen 9: No errors
If no errors are detected, a green message will appear at the top of the screen confirming that the variation has been saved.

We then select “Save and Continue” to move on to the next page of the variation.

Screen 10: Declaration & Notes
Once we’ve finished editing the details we need to edit, we go to the “Declaration & Notes” page.

On this page, there is a legal declaration on this page we must read and agree to in order for us to submit our variation.

After we’ve read the declaration, we tick the box next to “I have read and accept the above legal declaration” to indicate that we have read and accept the declaration.

In the next field under “Registration Notes”, we enter any relevant information that we think the person assessing the variation should be aware of.

We then select the “Save” button to save our changes and check for any errors.

Screen 11: No errors
If no errors are detected, a green message will appear at the top of the screen confirming that the variation has been saved.

We then select “Save and Continue” to move on to the next page of the variation.

Screen 12: Summary & Submission
We then go to the “Summary and Submission” page.

On this page, we can view a summary of all the pages in the variation and submit the variation to the Regulator for approval.

We first review and fix any pages with red or yellow boxes that indicate there are errors or warnings that need to be addressed.

We can then download a copy of the variation before we submit it by selecting the “Export to PDF” button and saving the PDF to our computer.

Once all the boxes on the page are showing green “Complete” boxes, we select the orange “Submit” button at the bottom of the page to submit the variation to the Regulator for approval.

And that’s how you submit a change request variation for an existing registration.

Screen 13: Help section
