Video Transcript - Request a variation to a registration: Add models to family of models

Screen 1: Title screen
Welcome to the video help series for the Energy Rating Product Registration System.

In this video, we are going to show you how to request a variation to one of your existing registrations.

There are two kinds of variations: ‘adding models to a family of models’ or ‘change request’.

Let’s take a quick look at the two different types of variations.


Screen 2: Overview of variations
The first type is an ‘add a model’ variation. An add a model variation allows you to add a new model to an existing family of models registration, provided that the registration has not met its limit for the family as prescribed under the relevant product Determination. There is a fee of $210 per family of models variation.

The second type of variation is a change request variation. A change request variation allows you to edit basic information on the approved registration. For example, contact details, the date of availability of the product and the website. There is no fee for a change request variation.

In this video, we’re going to look at adding models to a family of models.


Screen 3: Overview
We begin on the Overview page of the registration we want to vary.

We select the “Vary Registration” button from the Actions box on the right hand side.

You may need to click twice to bring the older registrations to the top, which will make the process easier.

We then select the “View” link next to the registration we want to renew.

Screen 4: Variation pop-up
This pop-up then appears, asking us to confirm that we would like to create a variation of our registration.

After we’ve read the information provided, we select the “Confirm” button to create our variation.

The pop-up refreshes and a message appears confirming that our variation has been successfully created.

We then select the “View new variation” link to go to our variation page.


Screen 5: Variation page
This is our draft variation. Although it looks the same as our original registration, we can tell it’s different because it has a different record ID and it has ‘variation’ after the ID number.

We now need to edit our variation, so we select the “Edit Variation” button in the Actions box or the “Edit Variation” tab on the application toolbar.


Screen 6: Variation Type page
This is the Variation Type page. On this page, we need to select what type of variation we wish to make to our registration.

There are two options: “Adding Models to a Family of Models” or “Change Request”.

We select “Adding Models to a Family of Models” from the drop-down menu.

If the registration is a single registration, we need to confirm that we want to change this to a family of models. So let’s select “Yes” for this question.

We then select the “Continue” button.

Once we choose our variation option and select “Continue”, we cannot change it. We will need to start a brand new variation if we want to change the variation type.


Screen 7: Registration Type/Models and Manufacturer
We are then taken to the Registration Type page. We then select the Models and Manufacturer link from the left hand side menu as that is the page we need to edit.

In the first field, we enter or vary the family name for the models covered under this application.

In the table below, we enter or vary the model numbers for each model under this application. For each model, we also select the corresponding brand from the drop-down menu.

To remove a model from the application, we simply select the “Remove” link next to the model we want to remove.

If we need to add more model numbers and brands, we simply select the “Add another” link at the bottom of the table to add additional lines to fill in.

Once we’ve entered all of our information, we select the “Save” button to save our changes and check for errors.


Screen 8: Models and Manufacturer - Errors
If there are errors, a red message will appear at the top of the page. The questions with the errors will be highlighted in red and we’ll need to fix these before we can continue.


Screen 9: Models and Manufacturer - No errors
If no errors are detected, a green message will appear at the top of the screen confirming that the variation has been saved. We then select “Save and Continue” to move on to the next page of the variation.


Screen 10: Label
Some products may require additional or updated energy rating labels, so we click onto the Label page if we need to update our label.

To replace an existing label with a new one, we select the “Choose File” button under the label, we locate the replacement label on our computer and then select “Open” to attach the label to the variation.

We then adjust the description of the label in the “Description” field to match our new label.

To add an additional label, we select the “Add another” link to add another line to the table. We then select the “Choose File” button, locate the additional label on our computer and select “Open” to attach the label to our variation.

We then enter a description of the new label in the “Description” field.

To remove a label, we select the “Remove” link under the Actions column next to the label we want to remove.

Once we’ve made our changes, we select the “Save” button to save our changes and check for errors.


Screen 11: Label - Errors
If there are errors, a red message will appear at the top of the page. The questions with the errors will be highlighted in red and we’ll need to fix these before we can continue.


Screen 12: Label - No errors
If no errors are detected, a green message will appear at the top of the screen confirming that the variation has been saved. We then select “Save and Continue” to move on to the next page of the variation.


Screen 13: Payment
We select the Payment page from the left menu to pay the $210 fee for our variation.

On this page, we select the “Proceed to Payment” button to pay the fee.


Screen 14: Manage Payments
On this page, we select the tick boxes next to the variations and other renewals or registrations we wish to pay for.

We then select “Pay for selected applications in bulk” from the drop-down menu above, and select the “Go” button next to it.


Screen 15: Manage Payments – Confirm Bulk Payment
On this page, we need to confirm the registrations or variations that we’re paying for. These are listed in the table on the left.

We then select the “Confirm Payment” button to continue.

A card payment section now appears. We enter our credit or debit card details in this section, using Visa, MasterCard or American Express. Notice that when we enter our card details, the total amount we’re paying is adjusted to include the surcharge that applies for that card type.

Once we’ve entered our details, we select the “Pay Now” button. A “Loading” message appears and the payment section briefly goes blank. It’s important that we don’t refresh the page or navigate away from it while the payment is processing as we may end up incurring multiple charges.

A message then appears, confirming that our payment was successful.

To view confirmation of our payment, we select the “View Receipt” link.

To download a copy of this receipt, we select “Click to download” next to “Tax Invoice” at the bottom of the page.

We have now paid the fee for our variation.


Screen 16: Applications/Registrations & Application
If we go back to our variation using the Applications/Registrations page, we can see that our variation has automatically been submitted to the Regulator for approval.

This will only happen when we’ve completed the variation in full before payment. If we pay our registration fee before we finish completing the variation, we will need to finish our changes to the\ variation and then manually submit it through the Summary and Submission page of the variation.

And that is how you submit a variation to add models to a family of models registration.
